Hotel Booking Terms & Conditions
Thank you for choosing to book with us, we hope you will enjoy your stay.
By making a reservation, you are agreeing to the Terms and Conditions detailed below which form the basis of your contract with Garden Hotel. In the Terms & Conditions set out below, "you" and "your" refers to all persons named on the booking, which includes any individual(s) subsequently added or substituted at a later date. "We", "us" and "our" all refer to Garden Hotel. Please read the Terms & Conditions carefully.
Please print and retain a copy of this Agreement for your records as it may occasionally be updated.
1. Reservation
By making a booking you are confirming that you are authorised to do so on behalf of all persons named in the booking and you are acknowledging that all members of your party agree to be bound by these Booking Terms & Conditions.
When your booking has been made, a confirmation can be sent to you by email using the email address that you have supplied. You should carefully check the details of your confirmation as soon as you receive it. You must contact Garden Hotel immediately if any of the details are incorrect or incomplete.
We will always endeavour to rectify any inaccuracies or accommodate any alterations you wish to make to your booking. We cannot accept liability for any inaccuracies that are not brought to our attention within seven days of issuing your confirmation, nor can we accept responsibility for inaccurate information that you have supplied.
2. Settlement of account
A credit card is required at the time of the booking to secure your reservation. Where a deposit or full payment is required in advance; by booking, you are authorising the debiting of the card provided. Payment must be made in full on arrival or before final departure. We accept cash, credit or debit cards (except American Express).
Unless stated as part of your booking, additional items such as (but not limited to) the cost of external telephone calls, meals, drinks and travel expenses, are not included in the price of your stay. If you incur any such additional costs you must settle the sum involved on your departure from the hotel.
3. Third party reservations
Should you choose to make the reservation through a third party (eg: Booking Agent), you will still be requested to provide a credit/ debit card on arrival and remain responsible for the payment of the account in the event on non-payment by that third party.
4. Registration
Under the Immigration (Hotel Records) Order 1972, all hotels, guesthouses, bed & breakfasts, etc. must keep a record of the full name and nationality of their guests over 16 years of age. Aliens must also record the number and place of issue of their passport, their nationality and their next destination. To that end, a Guest Registration form must be completed upon arrival.
5. Cancellations and Amendments
In order to avoid cancellation and/or non-arrival charges, guests should observe Garden Hotel cancellation policy, which is up to 10.00am, one day prior to your arrival. Failure to cancel in advance will result in the first night's accommodation being charged to the credit or debit card provided.
In all instances, notification of cancellation/amendments must be made in writing either by email (reception@gardenhotel.co.uk) or by post and will be effective on the date received by the Garden Hotel. Amendments are subject to availability and those made within the cancellation period may be subject to cancellation charges.
The single exception to this policy is in the case of special events (such as – Bangor University Graduation, Concerts/music festivals, fresher's week etc.) where full payment will be required at the time of booking.
Should you cancel a reservation as detailed below, the Garden Hotel reserves the right to claim the following sums;
a) If cancelled more than 6 weeks prior – no charge
b) If cancelled within 6 weeks of the date – 50% of the total sum payable is due
c) If cancelled within 3 weeks of the date – 75% of the total sum payable is due
d) If cancelled within 1 week of the date/ "no-show" – Full payment is due
In agreeing to our terms and conditions, you authorise us to charge this amount to the credit/debit card used to secure the booking. It is recommended that you take out travel insurance which provides for cancellation cover.
For all cancellation enquiries, you will be required to provide a reference name and/or cancellation email.
6. Best available rates
These are rates based on room only and bed & breakfast. The following terms apply to bookings made at these rates:-
• Credit card guarantee required at time of booking
• Payment made on day of arrival or before day of departure.
• Cancellations and amendments are available up to 10am, one day prior the day of arrival, after this 1 night's accommodation charge will be levied by the hotel.
7. Special rate
These are reduced rates based on room only and bed & breakfast where stays are for 4 days or more. The following terms apply to bookings made at these rates:-
• Full credit card prepayment is required for duration of stay
• Prepayment charged to the credit card between time of booking and day of arrival.
• The hotel will not refund the payment in the event of a cancellation or non-arrival.
• No changes can be made to the booking.
8. Client's use of the Hotel / Damage
The Client is responsible for any damage caused to Hotel property, furnishings, fittings or equipment, or by any member of their party, sub-contractor or guests. The Hotel will require immediate payment to remedy any damage caused. It is recommended that appropriate insurance is obtained to cover any liability. All clients must comply with the regulations of the hotel, whether internal or enforced by third parties, including licensing, health and safety, and fire. No wines, spirits, beers or food may be brought into the Hotel or Hotel grounds by Clients, their guests or representative for consumption or sale on the premises without permission and for which a charge may be made by the Hotel. The hotel reserves the right to charge the provided credit card with any unpaid charges discovered after the Client has checked out.
9. Cancellations and changes made by Garden Hotel
The Garden Hotel may cancel the booking under the following circumstances;
a) If the hotel or any part of it is closed due to circumstances outside its control.
b) If the client becomes insolvent or enters into liquidation or receivership.
c) If the client is more than 30days in arrears with any payment to the Garden Hotel.
d) To avoid a breach of these conditions.
e) If it might prejudice the reputation of or cause damage to the Garden Hotel.
f) In such event the Garden Hotel will refund any advance payment made but will have no further liability to the client.
If a guest or a member of your party behaves in a way that causes or is likely to cause danger, upset or distress to a third party or to hotel or guest property, we are entitled, without prior notice, to curtail the stay and request that the person(s) concerned leave the hotel. No refunds or return travel arrangements will be made and we will not pay any expenses or costs incurred as a result of such a curtailment.
10. Additional requests
All additional or special requests are subject to availability and we cannot guarantee the provision for special requests. Any additional requests made should be prior to your arrival at the hotel, giving reasonable advance notice.
11. Medical conditions
If you or any member of your party has a medical problem or disability which may affect your stay, please call Reservations to advise us so that we can make provision for the particular needs of the person(s) concerned, or advise you if we are unable to make such provision. If details are not provided to us at the time of booking, the hotel reserves the right to cancel the booking should it be unable to make appropriate provision for a specific need or needs.
12. Circumstances beyond our control
We cannot accept responsibility for unforeseen circumstances beyond our control. These include (but are not limited to) adverse weather conditions, fire, riot, war, terrorist activity (or threat of such activity), industrial dispute, natural disaster, or injuries and death of an individual(s) through accidental circumstances unconnected with the hotel.
13. Insurance
The Hotel cannot accept responsibility for the property of the client, on any part of the premises, whether internal or external. You are responsible to ensure that any insurance cover you have provides adequate cover for your needs and for the duration of your stay.
14. Smoking
The Garden Hotel has a strict Non‐Smoking Policy.
All rooms are fitted with smoke detectors. Breaching this term will result in a penalty charge of £250, plus any loss of revenue for not being able to rent the room due to the smoke residue. Should you smoke in this room, by signing the guest registration form, you are authorizing these additional charges to be placed on your credit card.
15. Parking
There is free car parking at the rear of the hotel for all guests. Limited spaces are available. Please contact the hotel directly for more information.
16. Accuracy of information on this website
Whereas we endeavour to ensure the information contained within this website is as accurate as possible, there will inevitably be instances where information may be incorrect or out of date. It is always advisable to check specific details that may be relevant to your booking prior to making that booking. For example, information relating to regional or local attractions is intended for your general information and any changes to such attractions or facilities are beyond our control. We reserve the right to amend or remove information at any time and do not accept responsibility for keeping copies of any amended or deleted information.
17. Our liability to you
We accept liability for, and totally restricted to, services booked via the Garden Hotel website in accordance with the Booking Terms & Conditions current at the time of booking. We cannot accept any other form of liability.
18. Privacy
Any information collected in the course of a booking will be stored on our computer(s). This will not be shared with any third parties but we may, with your agreement, contact you about any special offers or promotions in which we think you may be interested.
19. Third party websites
Garden Hotel cannot be held responsible for the accuracy, content, or availability of information about our hotels or our organisation that may be found on third party websites. Neither are we responsible for the content or privacy policies of any third party websites that have links to or from Garden Hotel website.
20. Complaints
If you are dissatisfied with any aspect of your stay you should bring the problem or issue to the attention of the duty manager or senior member of staff at the hotel as soon as possible so that all reasonable efforts can be made to rectify the situation. If, for any reason, the issue cannot be resolved to your satisfaction and you wish to make a complaint, you should put it in writing and send it to the General Manager at: Garden Hotel, 1 High Street, Bangor, Gwynedd.
